School Trip by Bus: A Teacher's Planning Checklist
By PakCoachways Team · · 1 min read

A good school trip depends on preparation. Whether you are taking one class to a museum or a whole school on an annual picnic, this checklist covers the transport side.
Two weeks before
- Confirm the headcount. Include students, teachers and any helpers or parents travelling with the group.
- Collect permission slips and emergency contact numbers.
- Fix the itinerary. Write down every stop, the time you expect to spend at each, and the return time.
- Request quotes. Send the full plan to the operator so the quote covers the whole day, including waiting time.
Choosing the right bus
For a single class, a mini bus or coaster is usually enough. For a whole year group, you may need one or more larger vehicles. Ask the operator for the exact seat count and leave a few spare seats.
The day before
- Share the departure time and meeting point with parents.
- Give the driver the itinerary and a teacher's phone number.
- Confirm the vehicle and the pickup time with the operator.
On the day
- Take a headcount before leaving, at every stop and before the return journey.
- Seat younger students near the front and keep aisles clear.
- Keep a list of emergency numbers and the operator's contact details.
- Agree a clear meeting point and time at each stop.
Questions for the operator
- Is waiting time at stops included in the price?
- Can the bus return to school at the time we need?
- What happens if the vehicle has a problem during the trip?
